The Challenge

When this email automation platform reached out, they were struggling despite significant prior investments in content marketing:

  • Minimal organic traction: Only 1–2K monthly visitors (including branded searches) despite heavy content investment
  • High-cost, low-impact link building: Spent $3,000+ on individual links without strategic direction or measurable results. And missing systems & tools to manage link-building collaborations
  • Ultra-competitive market: Operating in one of the most saturated SaaS niches with countless direct competitors and affiliate sites
  • Lack of strategic clarity for content & link building
  • Operational inefficiencies: Missing effective systems and tools for content creation & link building
  • Resource misalignment: Dedicated writers and designers producing content without strategic focus or business impact

The team had the resources but lacked the strategic direction and operational expertise to compete effectively in their crowded market.

Before we started working together, the team was already investing heavily in content.

They had dedicated writers and designer, and were paying more than $3,000 for some links.

Despite this, the results were weak. Traffic stayed around 1–2K visitors per month, including branded searches.

When I joined, the main gaps were around clarity, direction, and processes:

  • Content topics: Lacking clarity on what topics to go after, alignment between topics, product relevance, and ranking potential.
  • Project management: No system for prioritizing articles, managing production, promotion, internal linking, and post-publishing workflows.
  • Content creation workflows: New content & content updates (including content brief creation).
  • Link building: No clarity on what to build links to, how to make them evergreen, and missing systems & tools to manage link-building collaborations.

In short, they lacked clarity on what to create, in which order, and how to support it with effective link building, internal linking, and ongoing optimization.


Approach

Phase 1: Strategic Foundation & Opportunity Identification

Since the niche was highly competitive, we focused on identifying relevant, easy-to-rank topics to generate initial user engagement, build solution awareness, a topical map & authority through that.

This approach allowed us to rank quickly for email automation-related workflows such as drip automation, welcome email automation workflows, and more.

We structured the topical map from easy to hard keywords, using the early wins to attract actual user engagement and then redirect that momentum toward more competitive targets.

To identify the first set of topics, we combined insights from Google Search Console with a custom gap analysis tool.

This tool connected data from 30+ competitor pages and SERP comparisons, letting me filter and prioritize the best opportunities.

The list grew beyond just direct competitors. We were also competing with other tools and affiliate sites targeting overlapping keywords, so we factored those in as well.

Phase 2: Content Architecture & Site Optimization

We audited hundreds of underperforming pages and restructured the existing content.

Phase 3: Content Production & Distribution Systems

We built scalable systems for consistent, strategic content creation and promotion.

Phase 4: Strategic Link Building & Authority Development

We transformed their unfocused, expensive link building into a systematic, high-ROI approach.

As rankings improved, we began earning natural links from big publishers.

We also created linkable assets that others cited, and sometimes promoted them via Google Ads to accelerate exposure.
